How do you make content visible only to specific groups of learners?

You may find that you are creating Courses, Badges, Learning Paths, Goals or Announcements that you only need a certain group of people to have access. You have the option to select a group within your organization or a job title for visibility when creating theses types of items.

Using Groups vs Job Titles

Background:

  • An org admin can see all content regardless of what group you are in.
  • When you are using the content visibility feature to make something visible to specific people, you have the option to use groups or job titles.
  • Job titles come from a question they answer when they login to MobileMind for the very first time and the user selects it from a list.
  • The potential problem with job titles is that they are selected by the users and each person may have a different interpretation of that job title. For example, Leslie selected District Staff - Support as her job title when she first logged into MobileMind. In my mind this would include administrative assistant types of jobs at the district level. Leslie works in the curriculum department and is creating STEM content. I would see her more as District Staff - Instructional... Our interpretations of the job title are different. 
  • Groups are created and managed by your district MobileMind org admins or those that have the role of Org Group Manager. Group User Managers have the ability to manage users in groups that have already been created.  For more information about creating and managing groups, click HERE.
  • When you use both groups and job titles for content visibility it becomes an "AND" relationship. So the people that will be able to see that content have to be in the group that you chose AND have one of the job titles you chose. For this reason, we do not recommend using both groups and job titles for visibility.

Example:

  • If you create an LP and make the visibility for a group or groups and did not include job titles, everyone in those groups will be able to see the learning path.
  • If you create courses that are visible to both groups and certain job titles and put those courses into an LP that only has groups, the only people that will be able to see those courses are those that are in one of the groups AND have one of the job titles. If they are in one of the groups, but their job title is not listed, they will see the LP, but not the courses.

Suggestions:

  • We recommend using groups only and NOT job titles for content visibility since groups are created and managed by the MM Org admin for your district. You won't have to rely on the user's interpretation of the job title and the groups of people you want to be able to see content will be controlled by you and you admins.
  • If you would prefer to use job titles, we suggest downloading a CSV of all of your users and making sure that people have the correct job title. If you need to make changes to job titles, you can do so on the spreadsheet they just need to be copied and pasted exactly like one of the choices available. Then you would upload the updated CSV.
    • School - Classroom Teacher, Media Specialist, Instructional/Tech Coach, School Staff - Instructional, School Staff - Leadership, School Staff - Support, Substitute Teacher, Special Education, School - Other
    • District - District Staff - Instructional, District Staff - Leadership, District Staff - Support, District - Other

Choosing Visibility by Content Type

Announcements:

  • In announcements, you will see an option to choose groups for visibility under the announcement image. 
  • If you are a group admin or creator, you will only see the option to send to groups for which you are assigned. For more information on announcements, click HERE.

Goals:

When creating goals for your learners, you will see the option for group and job title visibility on the right side.  If you are a group admin or creator, you will only see the groups for which you are assigned. For more information on goals, click HERE.

Courses, Badges, and Learning Paths:

  • In courses, badges, and learning paths you will see an option to choose groups for visibility.  If you would like to choose specific groups, click change visibility or click on the line below Group Visibility.
  • You can select multiple groups and job titles by opening it back up and selecting another group or job title  and you clan click the x to the right of the group or job title to remove them. As a reminder, we do not recommend using both groups and job titles for visibility.
